Privacy Policy
Effective 2026-10-17
This policy explains what personal information AutomateJake ("we", "us") collects when you visit our websites, sign up, and use our hosted business software (the "Service"), how we use it, and the choices you have. It works together with our Terms of Service.
1. Two kinds of data
- Account data is information about you as our customer: what you enter at signup and in your account, and how you pay. We decide how it is used, so for this data we are the "controller".
- Customer Data is what you and your users put into your own site, such as members, donors, donations, customers, invoices and files. You decide what goes in and how it is used. We process it only on your behalf to provide the Service, so for this data we are your "processor" or "service provider". If someone asks us about data in your site, we will refer them to you.
2. Account data we collect
- Signup and contact details: name, email, phone number, organization name, postal address and the site address you choose.
- Billing: subscription, invoices and payment history. Cards are entered with our payment processor, which gives us a token and the last four digits; we never store full card numbers.
- Usage of your site: number of active users and which apps are installed, used for billing, limits and support.
- Technical data: IP address, browser and device details, and server logs, used for security, preventing trial abuse and fixing problems.
- Messages you send us by email or through forms.
3. How we use it
- to create and run your site, and to sign you in;
- to bill you, charge renewals and send invoices and payment reminders;
- to send service emails such as email confirmation, trial and renewal notices, and security or downtime notices;
- to provide support, and to protect the Service from fraud, abuse and attacks;
- to improve the Service, using combined or de-identified statistics;
- to meet legal, tax and accounting duties.
We send occasional product news only if you agree, and every such email has an unsubscribe link. We do not sell personal information, share it for cross-context advertising, or use Customer Data to train AI models.
4. Who we share it with
We use these service providers to run the Service. They may handle personal information only to provide their service to us:
- DigitalOcean: servers and databases (United States).
- Storj: encrypted backup storage.
- Amazon Web Services (Amazon SES): sending and receiving email for our sites.
- Our card payment processor: taking and charging card payments.
- Google reCAPTCHA: telling people from bots on signup forms.
- GitHub: storing our software code (no Customer Data).
- Plaid and Intuit (QuickBooks): only if you connect a bank account or QuickBooks company to your site.
We may also share information if the law requires it, to protect rights and safety, or as part of a merger or sale of the business, in which case this policy continues to apply to it.
5. Cookies
Our sites use cookies needed to sign you in, keep your cart and session, and secure forms. We do not use advertising cookies. reCAPTCHA sets cookies under Google's own privacy policy.
6. How long we keep it
- Account data: while your account is open, then as long as tax and accounting law requires (usually up to 7 years for invoices).
- Customer Data: while your subscription is active. After a site is deleted (see the Terms), its final backup is kept for about 30 days and then deleted.
- Backups: nightly, each kept for about 30 days.
- Unconfirmed trial signups are deleted soon after signup if the email is not confirmed.
7. Security
Each customer has a separate database with its own credentials. Traffic is encrypted with HTTPS, backups are encrypted in storage, and access to production systems is limited. No system is perfectly secure; if a breach affects your personal information we will tell you as the law requires.
8. Your choices and rights
You can see and update most account data in your account. Depending on where you live (for example in California, other US states, the UK or the EU), you may have the right to access, correct, delete or get a copy of your personal information, to object to or limit some uses, and to complain to a data protection authority. To use these rights, email jacob@automatejake.com. We will verify the request and answer within the time the law requires, and we will not treat you differently for using your rights.
9. Where data is stored
The Service is run from the United States. If you use it from elsewhere, your information is transferred to and processed in the United States.
10. Children
The Service is for organizations and is not directed to children under 13. We do not knowingly collect personal information from children as our customers. Customers who store information about children in their site, such as youth group members, are responsible for any consent the law requires.
11. Changes
We will post changes here with a new effective date, and email customers before a material change takes effect.
